Asset Management

Overview #

The Asset Management module in ERP is designed to streamline the tracking, utilization, and lifecycle management of institutional assets. It provides a centralized system to record asset details, monitor their condition, and track movement across departments or locations. By automating these processes, the module enhances transparency, ensures accountability, and optimizes resource utilization while reducing the risks of misplacement or misuse.

Key Features #

  • Asset Registration & Categorization:

Maintain a comprehensive record of all assets, classified by category.

E.G.        IT Equipment – Computers, Projectors, Wi-Fi device, Printer etc.

Furniture & Fixtures – Desk, Chair, Table etc.

Electrical & Electronics – AC, Fan, UPS, CCTV Camera, Audio-visual system etc.

  • Barcode/QR Code/Serial Number Generation:

Assign unique codes for easy identification and quick access to asset details.

  • Location Tracking:

Monitor asset allocation by building, room, or assigned at specific location.

  • Condition & Status Monitoring:

Track the current condition (working, under repair, obsolete) to ensure timely maintenance or replacement.

  • Asset Movement Management:

Record transfers of assets between departments or locations.

  • Code-Based Search:

Enter or scan the asset code to retrieve details.

  • Barcode/QR Code Scanning:

Use a scanner or mobile device to instantly fetch asset information.

  • Find Asset by Location:

Enables searching and filtering of assets by their physical or assigned location, aiding audits, department tracking, and management across multiple sites.

  • Condition-wise Asset:

Allows classification and tracking of assets by their current condition, supporting maintenance planning, repairs, replacements, and disposal decisions.

  • Asset Verification:

Ensures assets are physically checked at their assigned locations and conditions, maintaining accurate records, supporting compliance, and preventing loss or misuse.

Important Reports/Views #

The Asset Management Module provides a wide range of reports that give organizations visibility into asset utilization, compliance, and lifecycle status. These reports support decision-making, audits, and strategic planning.

  • Asset Register Report:

Complete list of all assets with details such as category, code, purchase date, and cost.

  • Asset Status Report:

The Asset Status Report provides a comprehensive overview of assets categorized by their operational or physical condition—such as working, under repair, or obsolete. It includes the results of periodic or on-demand asset verifications, highlighting any discrepancies identified. Additionally, the report records the history of asset transfers between different locations or departments..

  • Disposal/Write-off Report:

Details of assets that have been disposed of or written off, including approvals and reasons.
