Teacher and Subject Allocation defines which teacher teaches which subject for each class and provides the information required by EasyEdmin to prepare the timetable.
The allocation information is also used to determine teacher workload, identify availability and scheduling requirements, and provide relevant subject-level rights to teachers when the timetable is Active.
Note: Subjects assigned to each class are maintained in Class Management. Timetable does not perform class-wise subject assignment. When a class is added to the timetable, EasyEdmin automatically retrieves the subjects assigned to that class.
Allocating Teachers to Subjects #
For each class and subject included in the timetable, the appropriate teacher can be allocated.
The allocation establishes the relationship between:
Class → Subject → Teacher
For example:
Class 8-A → Mathematics → Teacher A
This information tells EasyEdmin which teacher is responsible for teaching Mathematics to Class 8-A and becomes an important input for timetable planning.
A teacher can be allocated to subjects across multiple classes, subject to the teacher’s availability and configured workload requirements.
Selecting Subjects a Teacher Can Teach #
While adding teachers to the timetable, the subjects that can be allocated to each teacher can be selected.
This helps EasyEdmin determine which teachers are eligible for particular subject allocations during timetable planning.
For example, if a teacher is configured for Mathematics and Science, Auto Plan can consider that teacher when allocating those subjects, but not for subjects outside the configured selection.
Teacher Workload #
Teacher allocation is considered together with the workload limits configured for the teacher.
These include:
- Maximum Periods per Week — limits the total number of periods that can be allocated to the teacher during the week.
- Maximum Consecutive Periods — limits the number of periods that can be allocated to the teacher consecutively.
These settings help Auto Plan distribute teaching periods while considering the teacher’s workload.
Split Subjects #
A subject can be configured as a Split Subject when its teaching needs to be divided into separate allocations.
EasyEdmin supports different situations where a subject may need to be split.
Multiple Teachers Teaching the Same Subject #
A subject may be taught by more than one teacher at the same time.
For example, two teachers may teach the same subject simultaneously to different groups within the same class.
Subject Divided into Components #
A subject may also be divided into specific components.
For example, Science may be split into:
- Chemistry
- Physics
- Biology
The split is configured in the subject and managed for the respective class through Class Management.
When the class is added to the timetable, the applicable splits are displayed separately, allowing teachers to be allocated against each split.
This allows the timetable to represent the actual teaching structure rather than treating the complete subject as a single allocation.
Allocating Teachers to Split Subjects #
When a subject has multiple splits, teachers can be allocated separately to the applicable split.
For example:

Similarly, if the same subject is being taught by multiple teachers simultaneously, each applicable teacher allocation can be represented through the subject’s configured split.
Elective Subjects #
Elective subjects require special consideration during timetable planning.
When elective subjects are configured, EasyEdmin can attempt to schedule the elective subjects at the same time, while considering the respective teachers and required learning resources or places.
This allows students taking different elective subjects to attend their selected subjects during the same period without creating unnecessary timetable conflicts.
Elective subjects also affect the calculation of required periods per week. Where elective subjects are grouped for this purpose, they are not counted separately; the combined requirement is considered for timetable planning.
Class Teacher #
A Class Teacher can be selected for each class as part of the timetable configuration.
The Class Teacher is maintained separately from subject teaching allocations. A class teacher may also be allocated to teach one or more subjects to the same class.
Teacher Availability #
Teacher availability is an important consideration when allocating subjects and planning periods.
EasyEdmin provides a Teacher Availability utility that allows users to review when a teacher is available based on the timetable requirements.
The availability information primarily helps users identify the relevant day and timing when a teacher is required or available for allocation.
This can be particularly useful when reviewing or adjusting allocations manually.
Teacher Replacement #
A teacher assigned to timetable allocations may need to be replaced, for example, when a teacher leaves the institute and another teacher takes over the teaching responsibility.
EasyEdmin provides Replace Teacher to replace the allocations of one teacher with another teacher who is not currently part of the timetable.
The replacement updates the relevant teacher allocations without requiring the user to manually recreate each allocation.
Subject-Level Rights #
Teacher allocations also determine the subject-level rights provided to teachers when the timetable is Active.
When a teacher is allocated to a subject for a class, EasyEdmin can provide the relevant subject-level rights to that teacher.
For example, if a teacher is allocated to teach Mathematics for Class 8-A, the teacher can receive the relevant rights for Mathematics for that class.
When the timetable is deactivated, the subject-level rights associated with its allocations are withdrawn.
Important: Subject-level rights are linked to timetable allocations when the timetable is Active. Unpublishing a timetable does not withdraw these rights.
Role of Teacher & Subject Allocation in Timetable Planning #
Teacher and Subject Allocation provides the core teaching information used by the timetable planning process.
Before allocating periods, EasyEdmin needs to know:
- Which subjects are assigned to each class.
- Which teachers can teach those subjects.
- Which teacher is allocated to each subject or split.
- How many periods are required.
- Teacher workload limits.
- Applicable learning resources or places.
- Other planning preferences and constraints.
This information is then used by Auto Plan and Manual Timetable Planning to prepare the actual period-wise timetable.
