Class Subjects / Subject Assignment

In EasyEdmin, subjects are managed through a structured relationship between the Subject Master, Class Group/Semester, and Class.

The terminology used for the intermediate academic level depends on the EasyEdmin model:

Although the terminology differs, the underlying purpose is similar: this level allows common academic configurations to be defined and applied to the classes associated with it.

Terminology in this article: Class Group / Semester refers to this model-dependent configuration level unless a specific model is mentioned.


Subject Master #

The Subject Master contains the subject definitions maintained in EasyEdmin.

A subject in the Subject Master represents a reusable academic subject, such as:

  • Mathematics
  • English
  • Science
  • Computer
  • Physical Education

The Subject Master defines the subject as an academic entity that can be used within the institute’s academic structure.

However, a subject existing in the Subject Master does not by itself mean that the subject is applicable to every class.

The subject needs to be included in the relevant Class Group / Semester and consequently become applicable to the associated classes.


Class Group / Semester and Subject Configuration #

Class Group in the School Model and Semester in the College/University Model provide a level at which common academic configurations can be maintained for the classes associated with it.

Subject configuration is one such use.

For example, in the School Model, an institute may have:

Class Group: Standard 5
Classes: 5-A, 5-B, 5-C
Common Subjects: English, Mathematics, Science, Computer

Instead of independently configuring these subjects for 5-A, 5-B, and 5-C, the common subject configuration can be maintained at the Class Group level.

Similarly, in the College/University Model, the common configuration can be maintained at the Semester level.

When a class is created under the applicable Class Group / Semester, these configurations are set as properties of the class.

This reduces repetitive configuration and provides a common starting structure for classes belonging to the same Class Group / Semester.


Subject in Class Group / Semester #

A Subject in Class Group / Semester represents the association of a subject with the applicable Class Group or Semester.

It answers the question:

Which subjects are commonly applicable to this academic level?

For example:

Standard 8 → Mathematics
Standard 8 → Science
Standard 8 → English

The same principle applies to a Semester in the College/University Model.

A Class Group / Semester can contain multiple subjects, and multiple classes can be associated with the same Class Group / Semester.


Class Subject / Subject Assignment #

A Class Subject represents a subject assigned to an individual class.

It answers the question:

Which subjects does this particular class have?

For example:

Class 8-A → Mathematics
Class 8-A → Science
Class 8-A → English

When a class is created under a Class Group / Semester, the subject configuration defined for that Class Group / Semester is applied to the class as part of its class properties.

This provides a common starting structure for classes belonging to the same Class Group / Semester.

Adjusting Subjects for an Individual Class #

The subjects applied to a class through its Class Group / Semester configuration are not permanently fixed.

If a particular subject is not applicable to an individual class, users can subsequently remove that subject from the classwithout changing the common Class Group / Semester configuration.

For example, suppose Standard 8 has the following subjects configured at the Class Group level:

Mathematics, English, Science, Computer

When Class 8-A is created, these subjects are initially applied to the class.

If Computer is not applicable to Class 8-A, the user can remove Computer from Class 8-A while retaining Computer in the Class Group configuration for other classes.

This provides both:

  • Common configuration through the Class Group / Semester.
  • Class-level flexibility for individual requirements.

Class Group / Semester Configuration vs Class Subject #

The relationship can be understood as:

Subject Master
↓
Defines the subject

Class Group / Semester
↓
Defines which subjects are commonly applicable

Class
↓
Receives the applicable configuration as class properties when created

Class Subject
↓
Represents the subject assigned to that specific class

For example:

Subject Master
    │
    └── Mathematics
            │
            ▼
      Class Group
      Standard 8
            │
            ├── Class 8-A
            │      └── Mathematics
            │
            ├── Class 8-B
            │      └── Mathematics
            │
            └── Class 8-C
                   └── Mathematics

The same underlying relationship applies when Semester is used instead of Class Group in the College/University Model.

This structure allows the institute to maintain common academic configuration at the Class Group / Semester level while still having subject information available at the individual Class level.


Why This Structure Is Important #

The Class Group / Semester → Class relationship is particularly useful when multiple classes share the same academic structure.

For example, a school may have:

  • Standard 6-A
  • Standard 6-B
  • Standard 6-C
  • Standard 6-D

If these divisions follow the same curriculum, the common subject configuration can be defined once for Standard 6 and applied to the individual classes when they are created.

If one division has a different requirement, its Class Subjects can subsequently be adjusted without changing the common configuration of the Class Group.

This reduces repetitive configuration while allowing the flexibility required for individual classes.


Class Subjects in Academic Operations #

Many EasyEdmin academic processes operate at the Class level.

Once subjects are available as Class Subjects, they can be used by relevant modules and processes.

For example, Timetable uses the subjects assigned to the class when preparing the timetable.

When a class is added to a timetable, EasyEdmin retrieves the subjects applicable to that class. The Timetable module then uses those subjects for activities such as:

  • Teacher allocation
  • Period planning
  • Split Subject allocation
  • Elective subject planning
  • Timetable scheduling

Therefore, the Timetable does not independently recreate the academic subject structure of the class.

Class Management defines the subjects of the class. Timetable determines when those subjects are taught and by whom.


Subject Assignment vs Teacher Allocation #

A Class Subject and a Teacher Allocation represent different relationships.

Class Subject #

Defines:

What subject does the class have?

Example:

Class 8-A → Mathematics

Teacher Allocation #

Defines:

Which teacher teaches that subject to the class?

Example:

Class 8-A → Mathematics → Teacher A

A Class Subject can therefore exist before a teacher is allocated to it.

This separation allows the academic structure to be maintained independently from timetable planning.


Class Subject vs Timetable Allocation #

A Class Subject also does not represent a specific teaching period.

For example:

Class Subject

Class 8-A → Mathematics

means that Mathematics is a subject of Class 8-A.

A Timetable Allocation adds the scheduling information:

Monday → Period 2 → Class 8-A → Mathematics → Teacher A

Therefore:

  • Class Subject = the subject belongs to the class.
  • Timetable Allocation = the subject is scheduled for a particular period and teacher.

Split Subjects #

A subject may have a Split Subject configuration when its teaching needs to be divided into separate components or allocations.

For example:

Science
→ Chemistry
→ Physics
→ Biology

The subject itself belongs to the class, while the applicable split structure can be used when the subject needs to be planned or taught in different ways.

Another example is when the same subject is taught by multiple teachers simultaneously to different groups within a class.

The detailed rules for Split Subjects should be documented with the relevant academic or timetable functionality rather than duplicated in this Core Concept.
