Timetable Utilities

EasyEdmin provides utilities that help users review timetable-related information, make common changes efficiently, and reset timetable allocations when required.

The key utilities are:

  • Teacher Availability
  • Replace Teacher
  • Reset Allocations

Teacher Availability #

The Teacher Availability utility helps users review the availability of a teacher in relation to the timetable.

It primarily shows the day and timing when the teacher is required or available, making it easier to determine suitable periods for timetable allocations.

Teacher Availability is particularly useful when:

  • Planning or adjusting teacher allocations.
  • Reviewing an existing timetable.
  • Finding suitable periods for a teacher.
  • Investigating potential teacher scheduling conflicts.
  • Making manual timetable adjustments.

By reviewing teacher availability before making an allocation, users can identify suitable periods for the teacher’s schedule.

Replace Teacher #

A teacher may need to be replaced in the timetable when, for example, a teacher leaves the institute and another teacher takes over the teaching responsibility.

EasyEdmin provides Replace Teacher to replace the allocations of one teacher with another teacher who is not currently part of the timetable.

Instead of manually locating and changing each allocation, the utility allows the existing teacher’s timetable allocations to be replaced with the selected teacher.

Typical Use Case #

For example:

Teacher A is currently assigned to Mathematics across several classes. Teacher A leaves the institute, and Teacher B takes over those classes.

Using Replace Teacher, the relevant timetable allocations can be transferred from Teacher A to Teacher B.

This is particularly useful when a teacher needs to be replaced across multiple timetable allocations.

Reset Allocations #

The Reset Allocations utility allows users to clear existing timetable allocations so that the timetable can be planned again.

This can be useful when the current allocations need to be discarded and the timetable needs to be reworked, particularly before running Auto Plan again.

The reset operation provides options to control whether certain protected information should also be reset.

Reset Fixed Allocations #

Users can choose whether to reset Fixed Allocations.

When this option is selected, fixed allocations are also cleared during the reset. This allows previously protected allocations to be planned again.

If this option is not selected, existing fixed allocations remain protected and can continue to be considered by Auto Plan.

Reset Reserved Classes #

Users can also choose whether to reset Reserved Classes.

When this option is selected, class reservations associated with the timetable are also cleared.

If this option is not selected, the existing reserved classes remain unchanged.

Important: Reset Allocations can remove existing timetable planning information. Users should review the reset options carefully before proceeding, particularly when fixed allocations or reserved classes have already been configured intentionally.

Using Utilities During Timetable Planning #

Timetable Utilities complement both Auto Plan and Manual Timetable Planning.

Typical use cases include:

Review Teacher Availability → Make or Adjust Allocation → Review Timetable

When a teacher needs to be replaced:

Select Existing Teacher → Select Replacement Teacher → Replace Allocations → Review Timetable

When the timetable needs to be planned again:

Review Existing Allocations → Select Reset Options → Reset Allocations → Re-plan the Timetable

After using any utility, users should review the affected timetable information before proceeding with further planning.
