Auto Plan helps institutes automatically prepare a substantial portion of their timetable based on the information, requirements, preferences, and constraints configured in EasyEdmin.
Instead of manually assigning every subject and teacher to individual periods, Auto Plan evaluates the available periods and attempts to create a practical timetable while preserving allocations that have been fixed in advance.
Before Running Auto Plan #
Before running Auto Plan, the timetable should be properly configured.
The following information should be available:
- Classes added to the timetable.
- Subjects assigned to each class.
- Teachers and their applicable subjects.
- Required periods for subjects.
- Teacher workload limits.
- Maximum consecutive periods for teachers.
- Schedules and available periods.
- Learning resources / places, where applicable.
- Elective subject requirements.
- Joined Periods, where applicable.
- Planning preferences and constraints.
- Priority and Fixed Allocations, where required.
The quality of the automatically generated timetable depends on the completeness and accuracy of these planning inputs.
Priority and Fixed Allocations #
Important timetable requirements should generally be addressed before running Auto Plan.
An institute may have certain periods that it traditionally reserves for specific subjects, activities, or other requirements.
These can be handled as Priority Allocations and then Fixed so that they are protected during automatic planning.
The typical sequence is:
Identify Priority Requirements → Allocate Them → Fix the Allocations → Run Auto Plan
Auto Plan then plans the remaining allocations around the fixed requirements.
Important: A fixed allocation is protected from being changed by Auto Plan.
Class-Level Timetable Lock #
A completed timetable for a particular class can be protected using the Class-Level Timetable Lock.
When a class timetable is locked, Auto Plan does not change the allocations belonging to that class.
This is useful when some classes have already been finalized while the remaining classes still need to be planned.
For example, an institute can finalize and lock the timetable for Class 10 while continuing to use Auto Plan for other classes.
What Auto Plan Considers #
Auto Plan uses the configured timetable information and planning requirements when creating allocations.

Subject Requirements #
The required number of periods for each subject is considered when distributing the subject across the available schedule.
Teacher Requirements #
Auto Plan considers the teachers available for the applicable subjects along with their configured workload limits and maximum consecutive periods.
Schedules and Periods #
Available days and periods defined through the timetable schedules determine where allocations can be placed.
Learning Resources / Places #
Where a subject requires a particular resource or place, Auto Plan considers that requirement while planning the allocation.
Elective Subjects #
Applicable elective subjects can be coordinated so that they are scheduled at the same time while considering their respective teachers and learning resources or places.
Joined Periods #
Activities requiring multiple consecutive periods can be planned as joined periods rather than as independent allocations.
Conflicts #
EasyEdmin normally prevents conflicting allocations. Where the timetable has been configured to allow specific conflicts, Auto Plan can consider those permitted arrangements.
Fixed Allocations #
Fixed allocations remain unchanged while Auto Plan prepares the remaining timetable.
Locked Classes #
Allocations belonging to classes protected by the Class-Level Timetable Lock remain unchanged during Auto Plan.
How Auto Plan Works with Manual Planning #
Auto Plan and Manual Timetable Planning are complementary.
Auto Plan can be used to prepare most of the timetable automatically. Once the automatic planning is complete, users can review the results and manually adjust individual allocations where necessary.
A practical approach is:
Configure → Prioritize → Fix → Auto Plan → Review → Manually Adjust
This allows the institute to benefit from automatic planning while retaining control over specific timetable requirements.
Reviewing the Generated Timetable #
After Auto Plan completes, the generated timetable should be reviewed to ensure that it meets the institute’s requirements.
Users can review aspects such as:
- Class-wise allocations.
- Teacher schedules.
- Teacher workload.
- Teacher availability.
- Learning resource / place usage.
- Subject period distribution.
- Elective subject scheduling.
- Fixed allocations.
- Overall timetable completion.
Any remaining requirements or adjustments can be handled through Manual Timetable Planning.
Timetable Completion #
EasyEdmin provides completion information for the timetable, including class-wise and overall completion percentage.
This helps users identify how much of the timetable has been planned and which classes may still require attention.
Auto Plan is intended to reduce the amount of manual work required; it does not eliminate the need to review the resulting timetable.
Re-running Auto Plan #
Auto Plan can be used while the timetable is being developed and refined.
Before running it again, users should consider which allocations have already been finalized or protected through Fixed Allocations or Class-Level Timetable Locks.
Protected allocations remain unchanged, allowing Auto Plan to continue planning the remaining timetable around them.
